Edit emails

You can make changes yourself in the emails that our registration specialist in Puerto Registration System has prepared for you. Do this carefully and do not change anything that could hinder the correct sending of your emails. If you have any doubts, always contact us!

To the right place in Puerto

Click on Emails in the left bar under Communication. You will see an overview of the emails that are available for you for your event.

Available action buttons

Behind each email in the overview, you will see five icons:

  • Via the first button you can view the statistics of the relevant email. A message can be sent multiple times in different campaigns. If you want to view the statistics of an individual campaign, click on Email campaigns on the left under Communication. The statistics for sent messages can be found in the fourth Finished tab.

  • The second button gives you access to the editor. You can edit the content of the email in question (see below).
  • The third button gives you access to the email settings. Here you can, for example, change the sender's name (From name), the bounce address (Bounces address), the subject line (Subject) and the snippet (Preheader).
  • With the fourth button you can copy an email. You can then rename and edit the copy.
  • You can delete an email with the fifth and final button. Only do this in consultation with the registration specialist!

 

Working with the editor

You can reach the editor via the pencil. This is a so-called WYSIWG editor: What You See Is What You Get. The email is made up of blocks that contain content. You can change the contents of a block by clicking in the block.

A field will then appear with extensive formatting options. These are similar to those of Word. For correct display in the recipients' various email programs, we recommend keeping the format as simple as possible.

An email often contains so-called merge tags, such as  {{ guest.attributes.first_name }} in the example above. These are variables that are entered from the database when sent. Handle these tags and other code with care!

 

Undo, redo and preview
At the bottom left of your screen you will see a dark gray bar:

  • The first two buttons allow you to undo and redo changes (un-do and re-do).
  • With the middle button you can view a preview of your email and switch between different devices. You close the preview with the cross at the top right.
  • With the last two buttons you can switch within the editor between the editing environment of the desktop version and the mobile version of the email. This is only important if the content of the two variants differs from each other at block level.

 

Adding content
If you want to add new content, you can do this by adding blocks (see below) or by dragging one of the white squares from the right into the email:

Available variabels 

Above the editor on the right you see the following button:

Clicking the button will open a new tab. In this tab you see an overview of available variables. These variabels can be both guest and event related and are available to personalize your email message.

 

Blocks: move, copy, delete and add

In most cases you can get started within the blocks used. If you want to move blocks, you can easily drag them to the right place. As soon as you click on a block, you can delete and copy it via the icons that appear on the right below the block.

If you want to add a block to your email, click on Blocks on the far right and drag a block with the desired layout to your email. A field will appear with detailed formatting options for this block.

TIP: Save a block for use in another email.
If you click in the margin of your email (in the gray area, as above - you will then see a blue area marker across the full width of the email), a message will appear for the row in question. also a Save icon. This allows you to save a block for use in other emails. Blocks are stored exclusively within your account and are therefore not available to other users.

 

Adjust global layout

By clicking on Body on the far right, you can access the global layout of the message. Here you can, among other things, change the font and adjust the colors of text, background and links.

Save and test changes

If you have edited the email, you can save the changes via the bar at the top:

  • With the first button you save changes and return to the overview of the emails that are ready for your event.
  • You can save the changes via the second button and send the changed email to yourself to see how the changes work out.
  • You can save the changes via the third button. You stay in the editor.
  • The fourth button takes you back to the overview without saving the changes.
