Navingo and Invitado: a perfect match

Navingo, the organizer of the leading Offshore Energy trade fair, is an excellent example of a relationship that has lasted for years now. We do not consider them as a client, but as a loyal partner. It's no coincidence that our HVMP amigos determined the customer journey for the exhibition site and developed this website from A to Z. Together we keep thinking in terms of opportunities and so we keep looking for solutions continuously. And so it was possible that, despite Covid-19, Navingo quickly dared to decide to let the 2020 edition of Offshore Energy go ahead: in a hybrid form, in which our intelligent matchmaking tool Conector plays a leading role.

Growing together with a permanent partner

Each year we come together to see what could be improved, hence taking new steps to improve the registration process. For expample, The Offshore Energy trade fair was one of the first events in which our dedicated app was used. The strength of Conector Matchmaking was also immediately recognized by the organization. Our matchmaking tool is one of the most important pillars of the hybrid edition of Offshore Energy in 2020. In this way, valuable connections between exhibitors and visitors are established, both in the Amsterdam RAI and online, resulting in physical and online encounters.

In recent editions, optimizations have mainly focudes on the exhibitors. Our leadscan app is widely used on the exhibition floor and on the basis of the floor plan, in which the exhibitors can choose their stand, we achieved extensive sales automation. From lighting to furniture: everything related to the participation is offered in a webshop and can be ordered online. We streamlined the handling of so-called valuables with special registration desks for exhibitors. After scanning the e-ticket, the hostess sees what parking tickets, network cards and badges have been ordered. Upon delivery of the items, a receipt is printed and signed by the exhibitor. A watertight system. That's what they love, in the offshore industry.

Online registration and matchmaking

Dynamic form, unique profile

Trade fair visitors can easily register via the extensive registration form. Not only for visiting the fair, but also for his participation in the various parts of the comprehensive conference program. The visitor receives a warning if selected program components overlap, all sessions are equipped with a capacity check and the admission tickets can be paid online quickly and safely. Our system automatically generates an invoice if desired, and the organization gathers important information about the visitors to the trade fair through a survey.

The dynamic form is that variable that it can be used for different groups of invitees. Depending on the invitation codes and url parameters, only the fields that are applicable are displayed. For example, invited CEO's do not have to complete a survey, and only students are asked questions about their education. For the registration for side events, the form is provided with a different look and feel.

Matchmaking straight from the registration

On registering, the visitors answer a number of questions, with which a unique profile is built up. With this profile, the artificial intelligence-driven algorithm of our smart tool Conector Matchmaking starts working, which immediately after registration establishes connections between the visitors and all possible aspects of the fair. Networking and selecting interesting sessions has never been so effective! During Offshore Energy, Conector makes an important contribution to a tailor-made experience for the visitors and the generation of valuable leads for the exhibitors.

Our roadmap to sales automation

For this trade fair, Navingo uses our Floor plan tool. On the online floor plan of the trade fair, a potential exhibitor makes his choice from the current range of available stand space. This results in a concrete application that is handled by the organization. All correspondence, the final reservation, ordering of extra options and even invoicing takes place via our advanced tool. An extensive report is available for the organization, which includes all essential financial and logistical performance indicators.

Scanning and printing during the set-up of the trade fair

On-site we not only register the visitors, but also the exhibitors. During the set-up of the exhibition, they report to the special check-in counter. There we print the badges for the stand crew and the exhibitor receives his ordered guest tickets and parking tickets. A receipt is printed on an additional label, which is signed by the exhibitor upon receipt of his order. A watertight system that prevents fraud.

2 Dedicated apps

For visitors and exhibitors

We can also be found on the smartphones of visitors and exhibitors. With our visitor app, visitors have all information about the trade fair and the exhibitors literally within reach. This app uses the same CMS that is also used for the exhibition website. The stand crew registers leads at lightning speed with the leadscan app on their own phone: just scan the QR code on the visitor badge and you're done. If necessary, a comment can be added immediately after scanning. For the sales follow-up, an Excel file with the contact details of the collected leads can be easily downloaded in the exhibitor portal.

The advantage of one-stop shopping

Our sister company HVMP Internet Marketing has built up extensive expertise in mapping the online customer journey. For the Offshore Energy website we jointly determined the personas and worked out the customer journey. This resulted in the interactive designs that formed the basis for the exhibition website, also built by HVMP/Invitado. This website naturally complies with all applicable web and search engine guidelines. That's the advantage of working with one and the same partner: all platforms, apps and tools are technically fully integrated and use the same centrally stored data very efficiently.
